💡 Short version: We collect only what we need to run ChatHire. We never sell your data. Job seekers can use our free tools without creating an account. Employers control their candidate data. You can request deletion at any time.

1. Who we are

ChatHire is operated by Fourth Technologies Inc., a company incorporated in the United States. When this policy says "ChatHire," "we," "us," or "our," it means Fourth Technologies Inc.

2. What data we collect

From employers and recruiters

Account information: name, email address, company name
Billing information: processed securely via Stripe — we never store full card numbers
Job postings and position details you create in the platform
Usage data: feature usage, login times, session duration

From job seekers and candidates

Resume text when submitted through an application form or the resume checker
Name, email, phone, and LinkedIn URL when you apply for a position
Interview practice responses (audio transcribed to text for scoring — not stored as audio)
Work authorization status when provided

Job seekers can use AI interview practice, browse jobs, and check resume scores without creating an account or providing any personal information.

From WordPress plugin users

Application data submitted through the ChatHire WordPress plugin is sent directly to ChatHire servers and stored in your employer account
Resume files uploaded via the plugin are processed for text extraction and not permanently stored as files on ChatHire servers
Contact form submissions are saved as CRM leads in your ChatHire account
No data from the WordPress plugin is stored in your WordPress database

Automatically collected data

IP address and browser type (for security and analytics)
Pages visited and features used within the platform
Error logs and performance data

3. How we use your data

To provide, operate, and improve the ChatHire platform
To process job applications and match candidates with positions
To run AI resume scoring and bias redaction analysis
To send transactional emails (application confirmations, account notices)
To process payments via Stripe
To prevent fraud and ensure platform security
To comply with legal obligations

We do not use candidate data to train AI models without explicit consent. We do not send marketing emails without opt-in.

4. AI and automated decision-making

ChatHire uses AI to score resumes and generate candidate recommendations. These scores are presented as decision-support tools — the final hiring decision always rests with the employer. Our bias redaction feature is designed to surface potential bias in scoring, not to replace human judgment.

Candidates have the right to request a human review of any AI-generated score that affects their application. Contact support@chathire.ai to request a review.

5. Data sharing

We do not sell your personal data to third parties. We share data only in the following circumstances:

Service providers: Supabase (database), Google Cloud (hosting), Stripe (payments), Anthropic (AI processing). All are bound by data processing agreements.
Employer access: When a candidate applies for a position, their application data is shared with that employer's ChatHire account.
Legal requirements: We may disclose data if required by law or to protect the rights and safety of our users.

6. Data retention

Employer accounts and associated data: retained for the life of the subscription plus 90 days after cancellation
Candidate application data: retained per the employer's account settings
Interview practice responses: retained for 30 days, then automatically deleted
Anonymous usage analytics: retained for 24 months

7. Your rights

Depending on your location, you may have the right to:

Access the personal data we hold about you
Correct inaccurate data
Request deletion of your data ("right to be forgotten")
Object to or restrict processing of your data
Data portability — receive your data in a machine-readable format
Withdraw consent at any time where processing is based on consent

8. Cookies

ChatHire uses essential cookies to keep you logged in and maintain your session. We use analytics cookies (Google Analytics) to understand how the platform is used. We do not use advertising or tracking cookies.

You can disable cookies in your browser settings. Disabling essential cookies will prevent you from logging into the platform.

9. Security

We use industry-standard security measures including TLS encryption in transit, AES-256 encryption at rest, and role-based access controls. Our infrastructure is hosted on Google Cloud Platform with SOC 2 compliance.

Despite these measures, no system is completely secure. If you discover a security vulnerability, please report it responsibly to support@chathire.ai.

10. Children's privacy

ChatHire is not directed at children under 13. We do not knowingly collect personal data from children under 13. Our Special Education Career Prep feature is designed for use under school supervision in compliance with COPPA and FERPA. If you believe we have collected data from a child under 13, contact us immediately at support@chathire.ai.

11. International data transfers

ChatHire is operated from the United States. If you are accessing the platform from outside the US — including from India or the UK — your data will be transferred to and processed in the United States. We take steps to ensure appropriate safeguards are in place for such transfers.

12. Changes to this policy

We may update this privacy policy from time to time. We will notify account holders of material changes by email at least 14 days before they take effect. Continued use of ChatHire after changes take effect constitutes acceptance of the updated policy.
